Summary
BayesIT produces a probability model from data about your deliveries in the past, as well as an Internet page with an approx. 15-question compact form for realistic use and traffic lights for easy-to-understand communication of the results to the user. The model controls the traffic lights that guide the estimator who calculates tenders. The process takes place on BayesIT’s servers so that you do not need to use your own IT-resources for the development phase of the EWS project. You supply the data and participate in the analysis of which variables are the most suitable as well as in the testing phase.

Use
During the tendering process the user answers the questions and gets a signal by the traffic lights:

  • Green means he/she can proceed by him/herself.
  • Yellow means that he/she must find more information about the case following certain instructions.
  • Red means that it is not allowed to tender. Depending on your company’s process, the data should be sent to a centrally operating tender calculation office or then the tender request should be dropped.

    Overall implementation
  • BayesIT takes care of the server solutions as well as the EWS www page. This service covers the development phase.
  • The outlook of the EWS page will follow your company’s identity guide, which means the user cannot recognize that the service does not reside on your servers.
  • The data security is ensured by allowing access to this application only from your intranet. This also means that the user does not need to log in twice. Other people cannot access the service.
  • For the sales management we furnish means to check that the user has used the system properly.

    Your obligations are:
  • Participating in the data selection.
  • Delivery of data to BayesIT experts.
  • Testing.
  • Checking the texts on the EWS service page.

We recommend that after the feasibility study you proceed in three stages, each of which takes 2-4 calendar months and BayesIT’s share of work is 1-5 workdays/ phase. We recommend that participants from your side are at least:

  • The problem owner (the result responsible manager of the piloting area.
  • The problem owner’s assistant that should have a knowledge of the business.
  • A person that knows your databases.

1st phase feasibility study

Result: You know that the EWS system may work and you can proceed with the feasibility study.

2nd phase feasibility study continues
BayesIT verifies together with you that the data contains enough information, for more info, see “How to get started with a BayMiner EWS project 2006”

Result: You know that the EWS system will work and you can decide to start the project.

3rd phase
We develop together an off-line pilot that works. You prepare for the utilization.

    Contains
  1. Determining of the final variables continues.
  2. You create solutions to fetch data semi-automatically from company databases.
  3. You select 2-3 test areas and they start testing the EWS system.
  4. Testing.
  5. The package includes also:
    • Consulting 3-4 half-days.
    • Training for 2 key persons.
    • User licenses for 2 test users during the period.

4th phase
The model is transferred to Internet and test use is started. Implementation

    Contains
  1. The fourth phase is started when the off-line model predicts reasonable well.
  2. BayesIT produces the server solutions and the Internet page.
  3. You start the implementation.
  4. The plan does not include training; BayesIT can conduct the training if you wish.

5th phase
The next years.

    The content is dependent on many issues but typically it consists of:
  1. Polishing user interface.
  2. Polishing outlook.
  3. Update of the knowledge model. BayesIT can take care of the model updating after the development phase until your staff are ready to take over the task
  4. Transfer of the model and the calculation engine to the company’s own servers. BayesIT can take care of the your EWS www page after the development phase until your staff are ready to take over the task

You may start the implementation of the system during the 3rd phase of the project if you wish and you want to keep the knowledge model on BayesIT’s servers.

    Consider also these issues:
  1. The root causes to problems are often the result of several co-occurring factors, therefore the issues/questions must be carefully developed so that the answers contain all essential risk information.
  2. The second phase if critical because the users habits are probably the biggest constraints and risk factors that can jeopardize the results of the project. Therefore you should in an early phase ensure a positive attitude towards the system.
  3. If so required collection of additional data should be arranged, (e.g. from the field)
  4. Most of the work will be carried out in BayesIT’s facilities but meetings are kept in your facilities to save your staffs travel time.
  5. The number of customer’s projects should be over 100/year. They do not need to be similar but should be of same type.
